General Terms
- All payments must be made through the FIRST in Texas Coach Portal.
- Payment is due within 60 days.
- All payment methods are final.
- If a team is awarded a grant, FIRST in Texas will issue a refund of registration fees only if the grant allows for reimbursement.
Payment Methods
Pay via Purchase Order (PO)
- Select the Generate Quote/Invoice button in the Coach Portal.
- Complete the form to generate a PDF for your billing department.
- Once a PO is issued, return to the Coach Portal and upload the PO as a PDF document.
- All POs must be paid within 60 days of acceptance by FIRST in Texas.
All Purchase Orders must be paid net 60 days from acceptance by FIRST in Texas. All purchase orders must include the following:
- Identification Information: Unique PO number; FIRST in Texas name & address; School name, address, and contact information.
- Billing Information: Instructions for invoicing; billing address; billing contact name & email.
- Item Description: Products/services ordered, matching the invoice generated from the Coach Portal, along with team number.
- Authorized Signatures: Digital or physical signature, if required.
Note: FIRST in Texas cannot accept a commitment letter from a school or school district in lieu of a PO.
To Pay via Credit Card
Payments are processed through the Coach Portal. Visa, MasterCard, American Express, and Discover are accepted.
To Pay via Check
- USD funds only, drawn on a U.S. bank.
- Include your Team Number on the check for proper crediting.
- If possible, include a copy of the invoice with the check.
Refund Policy
Season Fee Refund Policy: The Texas Season Fee is non-refundable. If a team is unable to participate for any reason, no refund will be issued.
Event Refund Policy: If a team is unable to attend an event due to circumstances beyond its control, the team must notify FIRST in Texas immediately by submitting a request via email to [email protected]. If FIRST in Texas is able to register a replacement team for that event, we will refund 100% of the Additional Event Fee to the original payor. There is no guarantee of refund.
Cancellation of Event: On rare occasions, FIRST in Texas may need to cancel an event due to circumstances outside of our control. In such cases, we will make every effort to reschedule the event and invite registered teams to compete at no additional charge. FIRST in Texas is not responsible for reimbursing travel or other expenses incurred as a result of schedule changes or cancellations.
Nonpayment Policy
Accounts not settled within 60 days may result in suspension of team participation and ineligibility for future events.
